If you’re not an accountant, terms like accruals, year-end process, depreciation and liquidity probably fill you with dread – that may be the reason most free accounting software packages choose to gloss over complex terminology and end up looking more like an Excel spreadsheet than a credible package.
However, on the other end of the spectrum are dense software platforms that are clearly designed for CFOs and accountants. Here at Free Accounting Software, we do things a little differently; we don’t use complicated or obtuse accounting terms because we want small businesses to be able to understand what we’re talking about!
We often say that our software is ‘simple, but not basic’. What that means is that while we address all that complicated ‘accounting stuff’ that needs to be done, we use language that normal people understand. Being accessible but still taking care of everything behind the scenes is a difficult line to walk, and it’s one that many free small business accounting software packages struggle to do.

So what exactly is the problem with most free accounting software?
Well, actually, there are a few.
They’re often open source and/or edited by an online community. That’s not to say that a given community isn’t passionate and driven about improving the tool, but it does mean that (in a classic case of too many chefs spoiling the broth) things can go wrong and it’s difficult to know who to blame if/when they do.
Support is often lacking. Free business accounting software usually comes with a manual but, beyond that, it can be a case of just ‘getting on with it’. If you get stuck with something, you’ll sometimes find yourself waiting a long time for help…if it comes at all!
There are usually limitations designed to make you buy the paid version! Companies who put out free software aren’t charities; whether it’s through having a limited number of invoices or by disabling certain features in the free version, they’re going to try to get money out of you eventually. There’s no such thing as a free lunch!
Why does a business need accounts?
Most businesses are required to produce a set of accounts at least once per year. These accounts will form the basis for the tax return which tells HMRC how much tax is owed.
Aside from action within your set of accounts. Accounts can tell you how well your business is doing and mounts being a requirement, as a business you can benefit greatly from carefully considering the informality highlight areas that need to be addressed. For example, if you sell products or offer a service and your accounts show that your margins are too slim you may decide to increase your prices or negotiate harder with your suppliers to increase profit and keep your business healthy.

Accounts can be produced as frequently as you need them. So, if you require frequent up to date information about the performance of your business then monthly management accounts will possibly be best suited for you. ╝What’s involved with compiling your accounts?
Your accounts are a report based upon the bookkeeping of your business, whether you have completed the bookkeeping yourself or we have completed the bookkeeping on your behalf. Before we start work on your accounts, we will thoroughly check the bookkeeping to ensure that there are no mistakes or omissions.
From your bookkeeping records we then produce a set of ‘working papers’ which will be used to make all the necessary calculations required to turn the bookkeeping figures into a full set of accounts.
Your accounts will then be passed over to another Senior Accountant for them to double check all work, and produce a series of recommendations for you if any have been found. These recommendations can be things like whether or not it is beneficial for your business to be VAT registered, a recommended change to the structure of your business or even things like whether or not a pension review would be beneficial.
Your accounts will be produced using our standardised professional template and will be presented to you in either paper format or as a PDF for you to review them. You will then be given the opportunity ask us any questions you may have about the figures given and anything else you are unsure of.
Once you are happy with the accounts, and any amendments have been made, the tax return is produced and submitted to HMRC. It’s as simple as that!

UK tax return filing requirements
HMRC – Her Majesty’s Revenue and Customs – do not require the vast majority of people living in the United Kingdom to complete a UK tax return each year, but rather their income tax is simply paid and adjusted through the individual’s PAYE (Pay as You Earn) tax coding. The general rule is that should HMRC send you a tax return you are obliged to complete and return this to them. Failing to do so promptly may result in late filing penalties.
However, individuals with more complicated affairs; those with income not taxed at source e.g. savings, investments and property, those individuals earning approximately £100,000.00 or more, as well as those who are new to the UK, are likely to have to complete a UK tax return. HMRC : Residence, Domicile and the Remittance Basis “RDR1”
HMRC published guidance in this area provides an overview of the liability of residents and non-residents to tax in the United Kingdom. New arrivals
For those unfamiliar with the system, the UK taxation regime can, at first, appear rather daunting. Not only does the UK tax year run from the 6th April to the 5th April each year (rather than a more “usual” calendar year), but there are also numerous “residency” statuses to contend with. This is, of course, in addition to the fact that the concept of “domicile” is integral to the UK system of taxation.
It is imperative that on arrival in the UK, foreign nationals correctly inform HMRC as to their domicile status as well as their intended length of stay in the UK. These actions allow new arrivals to ensure that they benefit from various more advantageous tax regimes than those afforded to a UK resident and domiciled taxpayer.
Leaving the UK
Form P85 should be filed to inform HMRC that you are leaving the UK, however it should not be completed by taxpayers who file a UK Tax Return. You will naturally need to file a UK tax return for the year of departure, however it is worth noting that your liability to UK tax does not necessarily cease on your day of departure. Income arising in the UK continues to be taxable even if you become a non-resident. For this reason it is worthwhile obtaining advice on how to rearrange your personal assets to ensure the most beneficial tax treatment .
